For speakers & workshop organizers

Give your group a book they can write in and use at their desk. This guide helps you price an 80-page color workbook, check one copy, and plan a run of 30.

Budget $45 for one or $900 for a room of 30.
My target for a hands-on workshop is an 80-page, premium-color, coil-bound workbook. Coil lets people work with the book open on the table. Color keeps real photos, screen examples and teaching diagrams in color. I would order one proof before the event batch.
The priced baseline is PrintMe1 full color with plastic coil and protective covers. It is not a quoted Lulu Premium Color edition or a custom matte cover set. The physical proof decides whether it meets the finish we want. PrintMe1’s process.
| Cost item | 1 copy | 30 to one address |
|---|---|---|
| Color print + coil + protective covers | $24.84 | $745.20 |
| Shipping allowance — not quoted | $15.00 | $75.00 |
| Additional fee assumption* | $0.00 | $0.00 |
| Estimated tax, 8.375% | $2.08 | $62.41 |
| Estimated delivered total | $41.92 | $882.61 |
| Planning cushion | $3.08 | $17.39 |
| Working budget | $45.00 | $900.00 |
*No extra vendor fee is assumed, not confirmed absent. Shipping is my planning reserve, not PrintMe1 pricing or a guaranteed ceiling. Replace it with the actual delivery quote. This covers print production and delivery to one ordinary Vegas address; add any design work, rush charges, venue receiving fees, travel or onward transport separately. One proof followed by 30 handouts is 31 books across two orders: budget $945.
See the math and tax assumptions
Using PrintMe1’s published color rates and $3.89 coil upgrade: $11.99 + (80 − 35) × $0.199 + $3.89 = $24.835. We round to $24.84 before multiplying; checkout rounding may differ. No volume discount is assumed.
The Nevada tax map lists Clark County at 8.375%. The estimate taxes the print subtotal, assuming shipping is separately stated. Handling and packing can be taxable; use the actual invoice and Nevada’s shipping guidance. This is a budget, not tax advice.
Count pages, not sheets. Eighty PDF pages are 80 printed sides on 40 double-sided sheets. Include your title and artwork pages in that count. The clear front and black back are protective covers; separately printed cover artwork or extra notes pages can change the price.
Compare the whole job with FedEx Office.
Before you buy at FedEx Office—the name many of us still associate with Kinko’s—price the same workbook with an online printer. Compare paper, color, binding, covers, delivery and tax together. A cheap per-page headline leaves most of that job unpriced.
FedEx Office’s manual service offers Letter-size, full-color, double-sided printing and coil binding. Its local pickup can be useful close to an event. We did not obtain a current, matching 80-page FedEx quote, so there is no verified FedEx savings percentage in this comparison.
Your comparison number
Our 30-copy planning model is $882.61 delivered. Subtract that from your quote to see the difference from this budget. Match the paper, covers and arrival date, then replace our shipping allowance with a confirmed quote before choosing.
A worked example
Against an illustrative $1,200 quote, this model is $317.39 lower—a 26.4% difference. That $1,200 is a math example, not a FedEx price. Confirm both delivered quotes to measure an actual saving.
I would pay more for a confirmed arrival date when the workshop is close. Thirty cheaper books that arrive after the session are not the better buy.
Use color to teach—not just to decorate.

This is why I want color in the workbook. The printed page should carry the same photos and stage cues people see while I teach. A participant can circle an example, write the next action, and use that page with their team later.
- Photos: use real people doing the work, with a useful caption.
- Diagrams: give each stage a name, number and color. Keep the meaning clear in grayscale too, following the principle of not relying on color alone.
- Exercises: leave writing space and use paper a normal pen can write on.
- QR codes: put the start link near the beginning and print the short URL beside it. Scan the physical proof, not just the PDF on a monitor.
At the published baseline rates, the 80-page color option is $8.96 more per book before tax than the B&W option. That comparison also changes the paper from 20 lb to 24 lb, so it is not an ink-only upgrade. Print and paper options.
“Premium” is not one shared specification. Lulu has a Premium Color print option; other printers use different names. Check paper weight, opacity, surface and photo detail on a sample. PrintMe1’s paper notes also say brands can change with supply. I have not physically compared these printers for this workbook.
Give every printer the same brief.
Copy this specification and add your deadline. Keep premium color as the target; ask the printer to name the actual print process and stock.
“24 lb” and “60 lb” can describe comparable text-paper weight on different measurement bases. Ask for gsm and the stock name; do not compare the numbers alone. Example paper catalog with 24/60 lb text stock.
Watch the shipping category. PrintMe1’s $5.99 standard shipping uses Media Mail. USPS restricts advertising in qualifying Media Mail books. A workbook that promotes a conference, membership or service needs a content check; use an eligible shipping service instead of assuming the cheapest rate applies. Make the next order almost one-click.
- Keep one master and a small event layer. Change the cover, audience examples, agenda and QR destinations for JVA, Hypergrowth or another group. Keep the participant and instructor editions on the same revision. The instructor file carries its own visible mark and stays out of the participant order.
- Save a print-ready snapshot. Record the event, edition, revision, page count and file checksum. Check image detail, embedded fonts, safe margins and coil clearance against the chosen printer’s template. Keep the editable working document separate.
- Approve one physical copy. Inspect a dark photo, a pale diagram, the smallest text and the writing spaces. Turn every page. Check show-through and binding clearance. Test every QR code with a phone. Fix the source and reproof if a failure affects use.
- Save the order recipe. Store the approved PDF or hosted print link, printer settings, recipient reference, quantity, arrival deadline, current total and approval in the team’s project. Use authorized accounts; never pass around passwords.
- Let a teammate or agent prepare the reorder. It checks that the file is unchanged, refreshes the quote and asks for spending approval when required. After purchase, save the receipt and tracking. After arrival, confirm the quantity and condition.
A hosted print link can remove the repeated upload step. PrintMe1 describes PDF Hosting with preset print options and optional approval controls. That is a route to configure after the file and access are approved—not an ordering link we have activated here.
For coil workbooks, use a printer that offers coil. Amazon KDP’s print options are a different route for paperback or hardcover editions; they do not provide coil binding. A retail book can support the workshop, but it is a separate product and print setup.
Start with the one-copy proof. Confirm the premium finish and delivery quote, then buy the event batch. Prices, stock and shipping change; refresh the quote before each order.
